FAQs
FAQ
How should we be backing up patient records?
For cloud-based practice management platforms like Cliniko, your patient data is stored on the vendor's servers and backed up by them — but you should verify this and understand their data retention and recovery policies. We help you do that. For any patient data stored locally — scanned documents, treatment notes, imaging files — we implement a proper backup solution using the 3-2-1 approach: three copies of your data, on two different types of media, with one copy offsite or in the cloud. Backups are monitored daily and tested regularly so you know they'll work when you need them.
Can you help us set up reliable telehealth infrastructure?
Yes. Reliable telehealth comes down to three things: a fast, stable internet connection, the right video platform configured correctly, and audio and video hardware that works. We assess your current internet connection and upgrade it if needed, set up a dedicated connection or quality-of-service rules that prioritise telehealth traffic during sessions, and help you select and configure the right platform (whether that's integrated into your practice management software or a standalone tool like Microsoft Teams or Coviu). We also make sure your setup works reliably for practitioners working from home or across multiple clinic locations.
What are our Privacy Act obligations for health information?
Under the Privacy Act 1988, health information is classified as sensitive information and attracts a higher level of protection than other personal data. You're required to collect only the information you need, store it securely, control who can access it, and have a documented process for responding to breaches. Under the Notifiable Data Breaches scheme, you must notify the Office of the Australian Information Commissioner and affected patients if a breach is likely to cause serious harm. AHPRA also expects practitioners to take reasonable steps to protect patient confidentiality. We implement the technical controls that satisfy these requirements and help you document your compliance.
How do we handle IT security if we have practitioners working across multiple locations?
Multi-location allied health practices are increasingly common, and the security challenge is making sure every practitioner has secure, consistent access to patient records regardless of which clinic they're working from — without creating gaps that expose your data. We implement cloud-based access solutions that give your practitioners secure access from any location, device management across all clinic devices, and consistent security policies enforced centrally. If a practitioner leaves or a device is lost, access can be revoked instantly across all locations. We also ensure your internet connections at each clinic are reliable enough to support your practice management platform and telehealth.
